Wintac 2008 Features & Enhancements

~ Important Reminder to all Wintac Users ~
Regardless of whether you are upgrading from last year's version or a release from several years ago, when you purchase Wintac 2008, you get all of the enhancements made since your version! You do not have to purchase or install past versions when upgrading to the latest version. And remember, all upgrades include another full year of unlimited technical support services at no additional cost!
Job Scheduling, Dispatching & Mobile Computing
You can now configure Wintac's dispatch board to automatically default to and pop up the TechView screen when clicking the Dispatch button. This is great for those of you who spend the majority of your time at the TechView screen rather than the main dispatch screen (now called the JobView).
The dispatch board's TechView has a new dropdown menu for limiting the unassigned column to only jobs matching a specific status. This is great for quickly viewing and assigning only those jobs classified as emergency, or maintenance, or callbacks, etc.
You can now access the Add New and Print options from the TechView screen as well as from the main dispatch screen (now called the JobView).
Wintac now includes built-in support for signature capturing! Using Wintac on tablet computers (required) in the field, your technicians can now get electronic signatures from customers on work orders, proposals, and invoices. The signatures are digitally stored in Wintac with the contents of each WIP and can be included on printed copies. One of the year's most requested enhancements!
The on-the-fly Create Customer option in the dispatch board now allows you to enter all the general customer information available from the main customer record including: TC, Ref.Code, Name, Address, Phones, Salutation, Business, County, Account Manager, Email addresses, and the two Miscellaneous fields.
When drilling down to a job's work order, you can now pop up an Edit Customer window to view and update all the general customer information without ever exiting to the main customer screen. A great time-saving feature!
When scheduling a job that spans multiple days, there is now a "Skip Weekends" option to automatically exclude Saturdays and Sundays from being scheduled. One of the year's most requested enhancements!
The field service PDA Messaging feature has been enhanced to allow sending the customer's Reference Code along with the other job information.
You can now assign technicians to jobs based on locations that each technician serves. By specifying the service areas (based on zip codes) assigned to each technician in the employee manager, Wintac can automatically match jobs to technicians servicing that location.
The WIP Writer's View Schedule popup window now has Previous and Next buttons for quickly viewing schedules on surrounding days.
Customer and Job Site Manager
You can now instantaneously search and sort customer records by County, City, Account Manager, and Business, as well as by Name, Customer Number, Tag Code, Reference Code, Address, Zip Code, Street, City, Phone, Email, and more. Wintac's extensive searching, sorting, and locating options are unmatched in any other service management program!
You can now store and retrieve a menu of customer terms from a dropdown menu.
When clicking the Job Sites icon from a customer record, Wintac will now automatically prompt you for the job site's general information if no job sites currently exist for the customer.
The Customer Information reports can now be limited to only those customers who have not generated revenue this year.
You can now generate a Customer Information report based solely on your assigned user-definable fields.
Several new sorting and grouping options have been added to the Invoice History, Receipt History, and Budget Analysis reports. You can now sort/group by Date, Customer Number, Customer Name, Job Site Name, Job Site City, Technician, Summary, Division, Salesperson, Reference Code, or Business. You can even sort, group and subtotal by Customer Name and, within that, sort, group and sub-subtotal by Job Site.
Several new sorting and grouping options have been added to the Sales Tax Analysis reports. You can now sort/group by Date, Summary, Customer Name, Job Site City, Division, Reference Code, or Business. You can even sort, group and subtotal by Customer Name and, within that, sort, group and sub-subtotal by Job Site.
The WIP Listing reports have been enhanced to show the job total, total receipt amount, and balance for each WIP.
The Customer Work History reports now have an option to either include or exclude the WIP notes from appearing on the report.
The Work History window has been enhanced to include a column showing whether the service record comes from a work order or an invoice.
The comment line of customer statements has been extended to allow up to 255 characters.
A new Customer Alerts report can be generated to review the popup alerts set for your customers.
Wintac's automatic city/state/zip code storage and retrieval feature has been enhanced to also automatically store and retrieve County and tax rates. Now you can associate tax rates to specific locations and instantly fill in multiple fields by simply entering a city or zip code at a new customer or job site record. A great time-saving feature!
An all-new Applications feature has been added to the Customer Manager that gives you the ability to create a library of "applications" that can be used to automatically generate entire work orders with a single mouse-click directly from the main customer screen! Each application consists of a collection of Task Groups, so the application is automatically updated whenever you modify an included Task Group. This is a unique and extremely powerful feature that, in conjunction with the Task Builder, gives you unparalleled flexibility in building reusable, custom job templates.
The MS Word® letter-writing, mail-merge feature now allows use of the customer user-defined fields in your Word documents.
In addition to pictures, you can now also attach Word documents, Excel spreadsheets, and PDF files to any customer or job location.

WIP Writer (Work Orders, Invoices, Proposals, Purchase Orders) and A/R Manager
All of Wintac's standard work order, invoice, proposal, and purchase order printed forms have been given a facelift for a more attractive, professional appearance. We work hard to keep you looking better!
Emailing work orders, invoices, proposals, and purchase orders has been enhanced to automatically create a PDF attachment of the form. This means that all the original formatting, logos, etc. remain intact and the emailed form will looked just as it does when printed. One of the year's most requested enhancements!
The WIP Browse window has been enhanced to include a column displaying the job site's address.
You can now globally modify the technician assigned on recurring work orders. This is a great-time saver when technician assignments change in midstream.
You can now configure Wintac to automatically include any and all assigned Assistants on the standard work order form.
You can now configure Wintac to include the Salesperson (SP) field on the standard invoice form.
You can now configure Wintac to automatically update the Promise Date to match the Job Date whenever the Job Date changes.

Job Costing
The Visual Job Costing window has been enhanced to allow re-sorting of the display by clicking on any of the column headings.
Posting job costs from accounts payable to specific customer jobs now automatically re-processes the WIP with no user intervention.
There is now an option to either include or exclude Prices when posting purchase orders to jobs.
Several new sorting and grouping options have been added to the Job Cost & Profit Analysis reports. You can now sort/group by Date, Customer Number, Customer Name, Job Site Name, Job Site City, Technician, Invoice Summary, Division, Salesperson, Reference Code, or Business. The Job Cost & Profit Analysis reports can be based on either work orders, proposals, or invoices. You can now also base a report on both work orders and invoices.
Wintac now supports subscribers to Air Hours internet service to collect employee timesheet information. Wintac reads and displays the Air Hours data in a scrollable spreadsheet-style window where you can use the Visual Job Costing tool to quickly post the employee costs to specific customer jobs. If you currently use Air Hours, this feature is a must!
Wintac now supports importing credit card transactions from your American Express, MasterCard, and Visa merchant services in user-definable CSV format. This all-new feature gives you the ability to download your credit card transactions into the appropriate registers in Wintac and post costs to customer jobs.
Inventory Manager and Task Groups
You can now set customer-specific pricing for each and every item. This gives you the ability to assign individual prices to each customer for any item in the inventory file. Wintac will automatically access the customer-specific prices when filling in WIPs. This is a unique and extremely powerful feature that gives you unparalleled flexibility in pricing your material, equipment, parts, labor, and other items.
The Adjust Count window for updating inventory on-hand stock levels now has Previous and Next buttons for quickly switching from one item to another without closing the window. One of the year's most requested enhancements!
An Automatic Price Markup feature has been added to the Inventory Manager. For each item, you specify a cost and either a percent markup or profit margin value and, whenever the item's cost changes, Wintac will automatically update the price accordingly. An innovative work-saving feature!
An On-hand Count column has been added to the Inventory Browse window.
You can now configure Wintac to insert Date/Time/User stamps at the current cursor location in the Item's Extended Description, rather than after the last line of text.
You can now email pictures of items to your customers.
In addition to pictures, you can now also attach Word documents, Excel spreadsheets, and PDF files to any inventory item.
When you have pictures, documents, or spreadsheets attached to items, the icon changes color to indicate there are attachments.
Vendor, A/P & Checking Manager
Each register in the A/P & Checking Manager now has a Duplicate feature that allows you to copy and paste a transaction with two mouse clicks. A great time-saving feature!
Each user-defined register can now be classified as either a bank account register (asset) or a credit card register (liability).
The A/P Viewer can now be used to pay down the balance of credit card registers, as well as paying bills from the accounts payable register.
You can now set up automatically recurring checking account transactions and journal entries, as well as accounts payable transactions.
There is now an option to allow users to write checks without specifying a check number.
There is now an option to edit a check number after it has been assigned. This makes correcting mistakes faster and easier than ever.
At any transaction, you can now simply double-click on an Account field to pop up the list of G/L accounts.
Accounts Payable and bank account transactions now allow you to assign a separate Division to each G/L account. This means that you can now disburse a single transaction to multiple divisions.
There is now an option to either include or exclude Prices when posting purchase orders to jobs.
There is now an all-new Vendor Payment report that shows the amounts paid to each vendor over a specified period.

General Accounting Enhancements
Wintac's integrated accounting features have been completely overhauled and enhanced. Check out the list below to see all that is new and improved. You will be simply amazed!
G/L accounts no longer need to contain a prefix identifying the type of account (e.g. E_, R_, L_, etc.). Instead, in the chart of accounts, you simply specify the classification of each account.
The chart of accounts now supports all of the following classifications: Revenue, Expense, Current Asset, Fixed Asset, Short Term Liability, Long Term Liability, Credit Card Liability, Equity, Cost of Goods Sold.
Each user-defined register can now be classified as either a bank account register (asset) or a credit card register (liability).
The A/P Viewer can now be used to pay down the balance of credit card registers, as well as paying bills from the accounts payable register.
You can now set up automatically recurring checking account transactions and journal entries in addition to accounts payable transactions.

The Balance Sheet has been redesigned and fully updated to support the new accounting enhancements.
Employee and Payroll Manager
Wintac has been enhanced to optionally allow simultaneous multi-user access (restricted, of course, by password security) to the Employee/Payroll Manager. One of the year's most requested enhancements!
Two new hours and rates fields have been added to each employee record. These added fields have all the properties of the existing hours and rates fields.
There is now an option to suppress employee social security numbers from appearing on check vouchers.
A Type field with a dropdown menu has been added to each employee record for designating the type of position (Technician, Project Manager, Salesperson, Executive, Administrative, Other). Note that the Technician, Project Manager, and Salesperson designations are also used to automatically populate the respective dropdown menus in the WIP Writer.
You can now generate employee commissions based on the profit of jobs, as well as any combination of material sales, labor sales, and other sales. In addition, any classification of employee can now be set up to generate commissions.

An all-new, built-in Vehicle Manager has been added to Wintac's extensive feature set that allows you to manage your entire fleet of vehicles! Now, right from inside Wintac, you have the power to quickly and easily log vehicle identification data, schedule periodic maintenance and inspections, and log and track service history. This newly added area of the program alone is worth the price of the upgrade!
You can now attach pictures, Word documents, Excel spreadsheets, and PDF files to any vehicle record.
The Daily Outlook popup window now includes a notification of vehicles due for scheduled maintenance.
Report Builder
All of Wintac's reports have been given a facelift for a more attractive, professional appearance.
In addition to previewing and printing reports, you can now have Wintac automatically generate a standard PDF of any report. One of the year's most requested enhancements!
Accounting Links
You can now preview and print a report detailing the data that will be sent to the selected accounting program (e.g. QuickBooks®, Peachtree®, etc.) before actually sending the data.
System Security
You can now optionally provide select level 2 password security users access to the Employee/Payroll Manager (previously, only level 1 users could access that area).
User Interface/Accessibility
"Go To" hyperlinks have been added throughout Wintac to allow you to quickly jump back and forth from one area of the program to another. An incredible time-saver that gives you faster and more efficient maneuverability!
Shortcut hyperlinks have been added to Wintac's opening menu that allow you to quickly jump to specific areas within the Customer/Job Manager including the Customer Browse, Job Site Browse, Inventory Browse, JobView board, and TechView board.
You can now configure Wintac's dispatch board to automatically default to and pop up the TechView screen when clicking the Dispatch button. This is great for those of you who spend the majority of your time at the TechView screen rather than the main dispatch screen (now called the JobView).
For each field with a dropdown menu in Wintac, you can now specify whether the field is mandatory and whether the user is limited to choosing only from the defined list to populate the field. Note that, if the field is designated as mandatory, Wintac will not allow the user to exit the record without first filling in the field. One of the year's most requested enhancements!
You can now cancel out of any screen and undo your current changes by simply pressing the Esc key.
Horizontal and vertical scroll bars have been added throughout the program to support running Wintac in a non-maximized window.
Additional
Wintac has been fully tested and optimized to support Windows Vista® (as well all previous versions currently supported).
Several key areas of Wintac's internal processing have been redesigned for even faster performance.
Wintac's installation program for automatically converting your existing Wintac data to this new version now allows you to simply point and click to select the company dataset to convert. For users managing multiple companies with Wintac, this makes upgrading faster and easier than ever.
An exhaustive, multi-level, in-house and beta testing process ensures that Wintac Pro 2008 improves on virtually every aspect of your current version.
