User Interface

Wintac's new cutting-edge interface makes it faster and easier than ever to get the job done.

  • New system-wide tabs allow you to jump from one area of Wintac to another with a single mouse click. We've made navigating between major areas of Wintac as simple and familiar as a typical website!

  • Every major screen in Wintac has been redesigned to provide a more intuitive user experience resulting in greater productivity. Yet, we were painstakingly careful to retain the relative layout of each screen's fields so that Wintac 2010 is immediately familiar with virtually nothing new to learn!

  • We've built an all-new Help Central assistance system into Wintac that totally eliminates the need for a complex reference manual. Becoming a Wintac expert is now easier than you've ever imagined!

Job Scheduling and Service Dispatching

Wintac's unmatched scheduling and dispatching features just keep getting better and better.

  • The dispatch board's TimeSlots view now has grid lines for easier dragging and dropping and clearer viewing.

  • In addition to the many other dispatch board views that you can toggle between, Wintac now has a new color-coded SnapShot view that gives a condensed look at each serviceperson's schedule for the day.

  • The dispatch OverView board now has a reset option to instantly reset the layout of the board to the default layout defined in Business Options. This gives you the ability to quickly change the layout back to a predefined format.

  • The Overview board has been significantly enhanced with a menu that enables you to select any form type to include on the board. Specifically, you can select from these six options: work orders, invoices, proposals, purchase orders, new (undefined) WIPs, and all WIP types. This new feature extends the usefulness of the OverView board to much more than just job scheduling and dispatching. You can now view any form type in a spreadsheet-style format from a single screen!

  • The Overview board has been enhanced with an option to limit the contents of the board to only jobs containing a specific Summary. So, for example, you might limit the board to only those jobs that have EMERGENCY in the Summary field.

  • The short format of the Job Schedule report has been enhanced to include the zip code of each job location.

  • Wintac’s powerful recurring service scheduling feature has been enhanced to provide even more options! You can now select the exact months of the year that a service is to be scheduled over a specified period of years. So, for instance, you could schedule a customer's service for April, May, September, and December on the first Tuesday of each of those months for a period of 5 years. Now that's scheduling flexibility!

  • You can now click on a hyperlink in the WIP Writer to instantly view all equipment service currently scheduled at the current job site. For convenience, the hyperlink automatically turns red if service has been scheduled for the site. Quickly review services coming due at a property!*

  • You can now click on a hyperlink from Items & Amounts to view all equipment service currently scheduled for a specific piece of equipment. You can even click a button to change the "Next Service On" date to the current job date.*

  • A new icon next to the Tech field in the WIP Writer instantly pops up the serviceperson's details including name, address, phone, cell phone, email, notes, and (optionally) regular hourly rate. This gives you the ability to review serviceperson information directly from the work order screen with a single mouse click.

  • From the WIP Writer, you can now instantly email a notification of work order status changes to any of the contacts associated with the current job. Easily keep the key people at customer sites updated of late arrivals, schedule changes, etc.

  • Along with emailing any WIP type to your customers, you can now also email WIPs to any of the techs assigned to the work order or servicepersons associated with a proposal, invoice, or purchase order. So, for example, you could tell Wintac to email a proposal, work order, or invoice to a customer and also email a copy to the techs assigned to the job. Likewise, you could tell Wintac to email a purchase order to both your serviceperson in the field and your supplier.

  • The two-way PDA messaging feature has been enhanced with an option to include a PDF of the job's work order when the email is sent to the serviceperson. This gives the serviceperson additional details not included in the PDA message, such as the installed equipment list at that location.

  • The NoteBook Email mode of sending job data to the field has been enhanced with an option to send a copy to all your field personnel whenever you send job data to one of them. This gives you the ability to easily keep all job data up to date on all notebook computers in the field.

  • The dispatch board's OverView screen now includes a checkbox for selecting work orders from which Wintac will automatically calculate and post employee labor time based on assigned start and end times. When you select the jobs, Wintac calculates the hours, price, and cost for each associated tech and tech assistant and creates the respective labor line items for each job. This is a huge timesaving tool for calculating and posting your servicepersons' time and expense.

Proposals

Enhancements make creating, sending, and tracking proposals, estimates, and quotes easier than ever.

  • If you preview a proposal and then print it from the preview screen, Wintac now stamps the proposal with the "Printed on" tag just as if you had printed it directly from the WIP Writer.

  • The "Printed on" tag now includes the alternate title that appears on the printed proposal (if you used one) for easy reference.

  • You can now specify your own custom subject line when emailing proposals.

  • You can now tell Wintac to not automatically populate the date fields when you click to add a new WIP.

  • You can now set Wintac to automatically recalculate proposals on-the-fly as you add line items - without having to click the process button.

  • You can now define the type of each proposal line item (e.g. material, labor, equipment, other) so that prefixes (such as M-, L-, E-, etc.) on Item Codes are no longer required.  One of the year's most requested enhancements!

  • You can now require that only administrator-level password holders are able to modify the Job Number previously entered for a proposal.

  • You can now select to display proposals on the dispatch OverView board.

  • You can now double-click, as well as press the Enter key, in both the Item Code and Description fields to pop up the Items Look-Up window to add line items.

Work Orders

Wintac's work order management features are the most versatile in the industry. Look what's new:

  • A new icon next to the Tech field in the WIP Writer instantly pops up the serviceperson's details including name, address, phone, cell phone, email, notes, and (optionally) regular hourly rate. This gives you the ability to review serviceperson information directly from the work order screen with a single mouse click.

  • In the WIP Writer, you can now select from the unlimited list of customer contacts specific ones to be emailed a notification of any status changes in their scheduled work. Easily keep the key people at customer sites updated of late arrivals, schedule changes, etc.

Wintac's unparalleled invoicing features now offer even more options and capabilities.

  • The WIP Writer label for the Payments/Credits field is now user-definable. So, depending on your business needs, you might change it to say Credits, Payments, Received, etc.

  • Change Orders that are based on invoices are now labeled in the WIP Writer as Change Order (INV) for easier identification.

  • QuickBooks Users: You can now press a hotkey from inside the WIP Writer to instantly send the current invoice (and any associated receipts) to QuickBooks.

  • If you preview an invoice and then print it from the preview screen, Wintac now stamps the invoice with the "Printed on" tag just as if you had printed it directly from the WIP Writer.

  • The "Printed on" tag now includes the alternate title that appears on the printed invoices (if you used one) for easy reference.

  • You can now select to have the work description included when you print  a progress invoice.*

  • You can now specify your own custom subject line when emailing invoices.

  • You can now tell Wintac to not automatically populate the date fields when you click to add a new WIP.

  • You can now set Wintac to automatically recalculate invoices on-the-fly as you add line items - without having to click the process button.

  • You can now define the type of each invoice line item (e.g. material, labor, equipment, other) so that prefixes (such as M-, L-, E-, etc.) on Item Codes are no longer required.  One of the year's most requested enhancements!

  • You can now require that only administrator-level password holders are able to modify the Job Number previously entered for an invoice.

  • You can now double-click, as well as press the Enter key, in both the Item Code and Description fields to pop up the Items Look-Up window to add line items.

Searching & Sorting

Wintac's already robust search and sorting capabilities are now even more powerful.

  • You can now change the sort order of most of the spreadsheet-style Browse screens in Wintac by simply clicking on the column heading. For instance, to sort the Customer Browse screen by customer balances, simply click the Balance field.  One of the year's most requested enhancements!

  • Most Browse screens in Wintac now have a Locate Any Text feature to find and highlight a specified text string. So, for example, you can now locate any embedded text in an equipment list for a customer.

  • The Customer Search function has been enhanced with the ability to locate the customer records containing a specified text string embedded in a contact name, contact phone, contact email, or any of the customer user-definable fields.

  • The Locate Any Text feature at the main Customer Screen has been greatly enhanced. If the text string you entered is not found, Wintac will offer to also search Job Sites for all customers. If a match is found, Wintac will take you directly to that customer and pop up the matching job site record! This is a tremendous timesaver that gives you the power to quickly locate virtually any information embedded in a customer or job site record!

  • A new Serial Number Search feature gives you the ability to locate any piece of equipment directly from any customer record. Wintac will even bring you right to the line item of the WIP containing the equipment with the matching serial number!*

Equipment Service Tracking*

Wintac's equipment tracking features have always been outstanding. Now new features put them in a league all their own.

  • You can now click on a hyperlink in the WIP Writer to instantly view all equipment service currently scheduled at the current job site. For convenience, the hyperlink automatically turns red if service has been scheduled for the site. Review services scheduled for a property at a glance!

  • You can now click on a hyperlink from Items & Amounts to view all equipment service currently scheduled for a specific piece of equipment. You can even click a button to change the "Next Service On" date to the current job date.

  •  A powerful new Equipment History report gives you the flexibility to print a single equipment history report grouped by customers and sub-grouped by the job sites for each customer. The report can be optionally limited to a specific model number, serial number, serviceperson, item code, WIP summary, and job name.

Inventory Management

Check out these time-saving enhancements to managing both your inventory and non-inventory items.

  • You can now define the type of each item (e.g. material, labor, equipment, other) so that prefixes (such as M-, L-, E-, etc.) on Item Codes are no longer required.  One of the year's most requested enhancements!

  • The Adjust Item function has been enhanced to optionally limit the selected adjustment to only inventory items or only non-inventory items.

  • A new Transfer Inventory feature has been added to facilitate quickly transferring items from one location to another. Just specify where to transfer from, where to transfer to, and the quantity to transfer.*

Purchase Orders

New features make creating vendor purchase orders easier and more accurate.

  • The powerful Build PO function in Items & Amounts has been enhanced to, upon completion of the process, pop up a dialog box and list the vendors for whom Wintac automatically created purchase orders.

  • You can now display a quick summary listing of purchase orders entered for the current vendor with a single mouse click.

  • Along with emailing purchase orders to your vendors, you can now also email purchase orders to any of the servicepersons assigned to the job associated with a purchase order. So, for example, you could tell Wintac to email a purchase order to both your serviceperson in the field and your supplier.

  • If you preview a purchase order and then print it from the preview screen, Wintac now stamps the purchase order with the "Printed on" tag just as if you had printed it directly from the WIP Writer.

Job Costing and Budgeting Analysis

New productivity tools and options give you more control over your job costing and analysis.

  • The Job Cost Analysis report can now optionally include the line item details of each invoice with quantity, cost, price, profit, and profit margin breakdowns for each line. Review detailed job costing data compiled in a single report!

  • Wintac can now track the total of proposed labor hours (from proposals) versus the total of actual labor hours (from work orders and invoices) on jobs. The Job Cost Analysis reports and Budget Analysis reports now reflect these values.

  • You can now tell Wintac to automatically calculate and post serviceperson hours, rates, and costs based on the start and end times for each tech and assistants assigned to work orders. When you select the jobs to  calculate and post using the new checkbox on the dispatch board's OverView screen, Wintac calculates the hours, price, and cost for each employee and automatically creates the respective labor line items for each job. Flat Rate Books

More flexibility when generating flat rate books based on your defined tasks.

  • When generating flat rate books, you can tell Wintac to show only one column (rather than three column) pricing on each page. This is useful if your flat rate tasks are based on only a single-price structure.

Customer Relationship Management

Track your customer and job site information even more effectively with Wintac 2010.

  • The customer screen now includes a menu of simple report previews for the current customer. Specifically, you can now select to view any one of four quick summary reports with a single mouse click: invoice list, proposal list, work order list, and receipt history. You can also print each report directly from the preview screen.

  • A new numeric Sales Stream field has been added to the customer management screen that can be set to automatically increment to track mailing/emailing campaigns for marketing purposes. For example, let's say you cycle through 10 sales letters that you send to your customer base. You could tell Wintac to send the first letter to all customers with "1" in the sales stream field. After emailing or printing, Wintac automatically increments the sales stream value of each one to "2". This gives you the ability to send the proper sales letter to each customer without having to manually send and track each one. A great time-saving marketing feature.

  • A new graphing tool has been added to the customer management screen that gives you the ability to graphically analyze your customer data in a variety of ways. For example, you could graphically view the assignment of customers to account managers, see the disbursement of your customer base by city or state, see the relative volume based on customer type, etc. You can even base the analysis on custom user-definable fields, so the possibilities are endless. This is a truly powerful new data analysis tool!

  • When printing form-letters or mailing labels for your customers, a new limit option gives you the ability to include only customers matching a specific type of equipment service as defined by the contents of the Type field in Items & Amounts.*

  • Wintac's on-the-fly Duplicate Record Detection feature  can now be triggered by pressing the tab key, as well as the enter key, when entering customer data.

  • The Daily Outlook window has been enhanced with two additional lines for customer management that show total outstanding balance and total year-to-date receipt revenue. Specifically, the display includes the number and total dollar amount of open customer balances, as well as the number of customers that have made payments so far this year along with the total dollar amount received. In addition, you have the ability to drill down to the report details for each line.

  • Batch statement emailing. You can now email your customer statements to all customers at one time in a broadcast email. Generating and emailing statements of account to your customers just got a whole lot faster and easier!  One of the year's most requested enhancements!

  • You can now generate customer statements for a specific job. With the new Limit to Job Number parameter, you can specify the job for which a statement should be printed.

  • The Items Usage & Analysis report has been enhanced with an option to sort and group by the Job Site name. This makes it easy to see the material, parts, etc. used at each property in a single report.

Leads, Prospect, and Contact Management

Track your leads, prospects, and contacts even more effectively with Wintac 2010.

  • Wintac now fully supports your mouse's scroll wheel in all browse screens and lookup lists.  One of the year's most requested enhancements!

  • You can now specify your own custom logo to use on Wintac forms in the following standard formats: JPG, GIF, TIF, and BMP.

  • You can now browse any computer, drive, and folder to select a custom logo to insert, as well as any data to import or export.

  • You can now limit records to a range of customer numbers when selecting to reset customer totals in the Year-End functions.
